Settings — Permissions (Jobs & Permissions)
Feature Overview
Permissions is where you define every job role at your restaurant and precisely control what each role can see and do — on both the POS and the Katalyst dashboard. By creating job classes (such as Server, Bartender, Manager, or Host) and assigning specific permissions to each, you protect sensitive areas of the system while giving each team member access to exactly what they need to do their job.
How It Affects the System
- Job Classes (also called departments) are the roles you create here. Every employee in the Staff section must be assigned to a job class. The class they are assigned to determines what they can access.
- POS Permissions on each job class control which screens, functions, and menu actions a staff member can perform while clocked in on the POS — such as applying comps, voiding items, or accessing cash drawer functions.
- Dashboard Permissions control which sections of the Katalyst management dashboard are visible and editable for users assigned to that job class (e.g., whether a job class can view reports or edit menu items).
- Pay rates associated with each job class feed directly into labor reports, payroll exports, and overtime calculations in Settings > Labor. Changing a pay rate here updates future labor cost calculations.
- Regular Rates (base pay configurations) are also managed here and flow through to the Alpha Payroll, Labor Cost, and Payroll KPI reports.
- Any changes to a job class's permissions take effect the next time an employee in that class logs in to the POS or refreshes their dashboard session.
Prerequisites / Requirements
- Restaurant edit or view permissions are required to access and modify job classes.
- You must have at least one job class before you can add employees in the Staff section.

- Click Save to confirm.
Common Troubleshooting / FAQs
Q: An employee can access a dashboard section they shouldn't be able to see. The employee's assigned job class likely has that section's permission enabled. Navigate to Settings > Permissions, click the employee's job class, and uncheck the relevant permission. The change will take effect on the employee's next login.
Q: I updated a pay rate but the labor report still shows the old rate. Pay rate changes apply to future clock-in records only — they do not retroactively change historical timecard data. Reports covering past dates will continue to reflect the rates that were active during those shifts. Only new shifts recorded after the change will use the updated rate.
