Settings — General Ledger Journal Entries

Feature Overview

General Ledger Journal Entries bridges your Katalyst sales and payroll data with your accounting system. By mapping your revenue, cost, and payroll categories to specific general ledger account codes, you can export structured journal entries that import directly into your accounting software — eliminating manual data entry and reducing reconciliation errors.

How It Affects the System

  • The journal entry settings page (accessible via Settings > General Ledger Journal Entries > Settings) is where you configure the mapping between Katalyst categories and your chart of accounts. Each revenue type, tax category, payment method, and payroll category can be assigned a specific account code.
  • The journal entries page itself (accessible from the Reporting section) generates and exports the actual entry data based on these mappings for a selected date range.
  • Changes to account code mappings apply to all journal entries generated going forward. Previously exported entries are not affected.
  • This feature supports three entry types: Sales, Payroll, and Enterprise (multi-location summaries).

Prerequisites / Requirements

  • Restaurant edit or view permissions are required.
  • You must have a working knowledge of your restaurant's chart of accounts to configure the GL mappings correctly.
  • Your accounting software must support journal entry imports in a compatible format.

Common Troubleshooting / FAQs

Q: My exported journal entries are not matching my accounting system's chart of accounts. Verify that the account codes entered in the GL mapping settings exactly match the account codes in your accounting software — including any leading zeros or alphanumeric formatting. Even a small difference can cause import errors. Contact your accountant or bookkeeper to confirm the correct codes if you are unsure.

Q: I don't see the General Ledger Journal Entries option in Settings. This setting appears in the Settings page list as a link. If you are not seeing it, confirm your account has restaurant edit or view permissions. If permissions are correct and it's still not visible, contact Katalyst support to verify the feature is enabled for your account.
