Four things to handle before signing. Square's clean data exports make the prep faster than most POS switches.

  • 3Export your data. Square's exports are clean: menu, customer database, gift card balances, loyalty members, transaction history. Even though Katalyst handles the migration, having your own backup is risk management.
  • 4Hardware inventory. Note your Square Terminals, Square Registers, Square Stands, and any Square Reader devices. None of this hardware transfers to Katalyst (or any other POS) — it's sunk cost. Plan the hardware replacement budget.

What happens to your Square hardware

Square hardware (Square Terminal, Square Register, Square Stand, Square Reader, Square Kiosk) is locked to Square's software and doesn't run other POS systems. Unlike Toast's leased hardware, Square hardware is typically owned outright — but it's still not transferable. The equipment becomes sunk cost when you switch.

Some operators sell Square hardware on secondary markets (eBay, Facebook Marketplace, local restaurant equipment dealers) — Square Terminals retain some resale value because they're paired with active Square accounts and can be transferred to new Square customers. Square Registers and Square Kiosks have lower resale value.

Katalyst supplies iPad-based replacements during onboarding. The hardware transition is the main one-time cost in a Square-to-Katalyst switch — typically $2,000–4,000 for a single-location restaurant, recouped within 2–4 months on processing + bundled-feature savings. How much does it cost to switch from Square?

Is there a Square cancellation fee?

No. Square has no contracts and no early termination fees — you can cancel any time. Once you've migrated to Katalyst, simply close your Square account through Square's standard account-closure flow. Any pending Square transactions complete normally.

Will my Square Loyalty members migrate?

Yes. Square Loyalty members, point balances, and redemption history all migrate to Katalyst during onboarding. Customers continue earning and redeeming points without losing any history. Katalyst's loyalty + customer database lets you do more with the data than Square allowed — branded mobile app integration, automated campaigns, deeper segmentation.

What happens to my Square Online site?

Square Online URLs redirect to Katalyst's native online ordering on cutover day. Customers don't experience downtime. Product catalog (with photos and descriptions) imports from Square Online during migration. Online order workflow continues without interruption — payment, fulfillment, customer notifications all work the same way from the customer's perspective.

How does Square Payroll handle the switch if I use it?

Square Payroll continues to work post-switch if you want to keep it — it's a separate Square product from Square POS. Most operators eventually move to Gusto, ADP, or another payroll provider for tighter Katalyst integration, but there's no forced transition. We document Square Payroll alongside Katalyst integrations during onboarding so the path is clear if/when you decide to switch payroll.

Can I switch back to Square if Katalyst doesn't work?

Yes — Katalyst has no contract lock-in (annual or month-to-month). If the switch doesn't work, you can return to Square without penalty. That said, our customer churn for Square-to-Katalyst switchers is very low — the operations that outgrow Square typically need Katalyst's features and rarely look back.
